Example (fictional data)

A sole trader electrician in Cork, registered for VAT. In the September–October period she issued 19 invoices and received 31 from suppliers. On 4 November she uploads the PDFs and the bank export; Vatwise shows VAT on sales, VAT on purchases and the amount payable, with the invoices behind each box. She checks two fuel receipts, confirms, and files the VAT3 on ROS well before the 23rd.

How it works

Every two months a small VAT-registered business in Ireland has to work out the VAT on its sales and purchases and file a VAT3 return. Many do it by hand in a spreadsheet in the last few days, digging invoices out of email, or pay an accountant per return just for that. Vatwise keeps the books as you go and prepares the VAT3 figures from them.

It works simply: you add your sales invoices, purchase invoices and bank lines, or the invoice lists you already keep, and Vatwise sorts each one by VAT rate. Common questions are answered in the FAQ, and you can register your business at the end of this page.

With the period's invoices in, you see VAT on sales (T1), VAT on purchases you can reclaim (T2) and the net figure payable or repayable. Each figure opens to the invoices it comes from, so you know what you are filing.

Invoices with something missing or odd are flagged before the figures are worked out: a supplier invoice without a VAT number, a rate that does not match the item, a purchase that may not be reclaimable. They get fixed before filing, not afterwards.

The VAT3 for each two-month period is due by the 23rd of the following month when you file and pay on ROS. Vatwise reminds you with days to spare and tells you which invoices are still missing for the period.

Once the figures are checked you file them on ROS yourself, as you do today. Each period is kept, so at the end of the year all six periods are together for the annual return of trading details and any question from Revenue.

Vatwise is meant for sole traders and small companies on the standard bi-monthly VAT cycle: trades, shops, small studios and services with tens to a few hundred invoices a period. It runs in the browser and on the phone, nothing to install.

If you already work with an accountant for the year-end accounts or income tax, you can keep doing so: Vatwise only handles the books and the VAT3 figures, and you can share each period with your accountant.

To start, you only need the invoices of the current period. Earlier periods can be added too, to compare with what you already filed.

Vatwise is a bookkeeping and calculation tool; responsibility for the return and for the invoice data stays with the business.

Questions

How are the VAT3 figures worked out?

VAT charged on your sales invoices goes to T1, VAT you can reclaim on purchase invoices goes to T2, and the difference is payable or repayable. Vatwise works it out from your books and shows where each figure comes from.

When is the VAT3 due?

By the 23rd of the month after each two-month period when filing and paying on ROS. Vatwise reminds you beforehand.

What if an invoice has an error?

It is flagged before the figures are worked out so you can fix it, for example a missing VAT number or the wrong rate.

Can I keep my accountant?

Yes. Vatwise only does the books and the VAT3 figures, and you can share each period with your accountant.

Do I need to install anything?

No, it works in the browser and on the phone.

Can I use it now?

Not yet. The service is being prepared and we are checking whether it is useful for small VAT-registered businesses in Ireland.
